Managing Workloads
In this article we will describe managing workloads.
To see your workloads click the workloads tab in the top navigation bar as highlighted below.
If you feel some of your workloads are missing, the main thing to double check is that you have both a budget resource and forecast resource for the workload you are trying to manage. It doesn't hurt to have them scheduled and a baseline set as well because you can view these aspects within your workloads.
Here in the workloads section we can review shared resources, see how are resources are distributed amongst their schedule and verify what schedules may overlap.
If you expand a resource by the triangle to the left of the resource you can see all the projects that resource is assigned to. If you expand the project in the same manor you will see the scope elements within the project the resource is assigned to.
Going left to right you can review the hours assigned to the resource based on your current schedule, distribution, and allocation. You can see the start and finish dates of the scope elements assigned to the resource. The total duration of work based on working days for your schedule. Your allocation percentage if you want to divide work between two or more scope elements. Then your distribution of the hours for the resource, uniform spreads them evenly throughout your schedule, front loading pulls them to the front of your schedule finishing as soon as possible, and back loading to the back of your schedule starting as late as possible.
You can also view your schedule by the gray bar over the top of your scope element, and the baseline via the blue bar under your scope element as pointed to by the arrows below.
Once you have your workloads set as needed, you can apply it to your forecast via the blue apply to forecast button in the left hand navigation bar as highlighted below and your forecast will update with the new workload you set. Alternatively if you were just playing with the workloads and want to reset them to the original forecast you can hit the gray reload from forecast button on the left hand side to revert them to the original plan.
The last thing we will cover in this article is some basic navigation to change what you are viewing. Of course there are the filters on the left side if you just want to filter out a resource or project or any of the available options, feel free to play with those and see how they effect what you can view.
The other call out is the blue buttons just above your schedule. Refresh reloads the workloads with any added information. Hide Baseline removes the blue bar under the schedule showing you the baseline. Hide Schedule removes the gray bar showing you the schedule. Zoom in and Zoom out allow you to zoom in and out of your schedule window. Then most importantly Set Dates allows you to set the dates your schedule window is able to view, you can choose in the calendar as short of a period or as long of a period as you need. These are all highlighted in the top right and are represented by blue buttons as highlighted below.
