Approving an Expense Report

In this article we'll learn to quickly approve an expense report.

If you're not already in the expenses section of InScope, go ahead and navigate to the Expenses header in the top navigation bar as highlighted below.

Here you will see a list of expense reports submitted and their statuses indicated on the left hand side. Select the expense report with a pending status that you want to approve.

Once you click into an expense you can see the list of expenses within the report and all the details of each. If you need to fix a mistake or edit the info within a reported expense, click the three dotes next to the expense you want to edit, and click edit.

If all the information is correct as reported you can reject or accept the report.

WARNING, once you accept or reject an expense report you cannot change the status. Though you can copy an expense report and delete the old one changing the approval status as needed.


EXAMPLE - In the below example, I rejected the report. The employee saw the rejection in their expenses and communicated with me on the error and correct expense amount. I copied the old rejected report changed the amount and approved it all without the employee needing to take any further action. Of course if the employee is available or the information you need is at hand you could simply edit the report before approving or rejecting as needed, eliminating the need to make a copy.

Once you have approved or rejected a project it will display as below. As you can see my rejected report is there and the approved report with the corrected expense amount.

Now you are able to approve or reject expenses as needed. This will keep only approved and correct charges applying to your projects.
